工作要求

1 – 行政职责

?主要协助董事以及团队其他成员的公司行政事务,财务事务和个人事务

?公司机密信息的保密

?协调并安排差旅,包括董事、管理层和随行人员的机票、火车票及酒店预定和管理工作。

?管理董事的费用报销事宜

?根据需要提供口头和书面的中英文翻译

?组织需要董事签名的文件

?为公司董事、高级管理团队及全体成员的会议准备材料、数据和演示文稿

?协助采购办公用品及产品相关材料

?监督并维护公司政策

?公司快递的收发

?管理租赁协议及办公大楼的要求

2 - 报告和财务

?维护和支持财务报告

?保存并准确的记录信息和归档文件等

?与财务代理协调出具付款通知单和发票,并与BD经理协调,跟踪付款结果

?参加公司会议,协助向管理层提供财务报告

?协助公司银行账户

3 - 人力资源

?协助招聘新员工和实习生

?为新员工准备劳动合同

?监管实习生工作(如需要)和实习工作计划

?初步筛选实习生和应聘人员

?实施已批准通过的奖惩计划

?维护和修改公司手册

?调研并安排合适的公司培训计划

4-BD和营销援助

?代表董事和BD部门与客户沟通和联络

?跟进客户的发票和付款

?与外部利益相关者进行谈判

?协助其他BD和营销任务,如参展和(社交)媒体发布

工作资格

经验

?教育:工商管理、国际管理、金融或公共关系学位优先考虑

?专业:有行政,人力资源,财务和个人助理职位的工作经验

?语言:流利的普通话和英语

?软件:熟练使用MS Office Suite,尤其是Outlook,Word,Excel和PowerPoint

技能

?能够在主动可靠的完成交代的任务并注意任务的后续跟踪

?能够维护日历日程和约定日程

Job Description

Atelier I-N-D-J is seeking an assistant to the management with a generalist and follow-through mindset. The ideal candidate will be fluent in Mandarin and English, written and spoken – and generally a good communicator. The ideal candidate will also handle a wide range of administrative support related tasks and will support both directors as well as the rest of the team in all required matters. This person must be exceedingly well organised, highly flexible, and enjoy challenges. The Directors highly value proactiveness and reliability and are looking for someone eager to learn and take on ever-increasing responsibility. The successful candidate will enjoy both engaging high-level relationships one minute and getting the details right the next. With room for growth and personal development, the successful candidate will become an essential part of the team and may take on higher levels of responsibility throughout the collaboration. Diligence, optimism, and a sense of humour towards life and work are essential.

Job Requirements

1 – GENERAL ADMIN

Assist primarily the Directors but also the rest of the team with organizational, financial and personal administration

Respect the need for confidentiality and sensitivity of information

Coordinate travel arrangements including scheduling and purchasing tickets for Directors and key guests as directed by the Executive Director

Manage Director’s expenses and reimbursement claims

Provide oral and written translation of Chinese to English, and English to Chinese as needed

Organise documents for signatures of Directors related to relevant projects

Prepare materials, packets and presentations for Director’s meetings, senior management team meetings, off-sites, and all-staff meetings

Assist with purchases of all sizes for the office and the Directors

Monitor and uphold Company policies

Dispatch and delivery of company express & courier

Manage lease agreement and office building requirements

2 – REPORTS & FINANCE

· Maintain and support financial reports and follow-ups

Keep accurate records and files as appropriate

Issue debit notes and fapiao’s in coordination with the dedicated accountant and coordinate with the BD Manager on provision to the clients. Keep track of payment performance

Attend company meetings, sometimes assisting with financial reporting to managers and senior executives

Support Company banking

3 – HR

Support recruitment of new employees and interns

Support the preparation of labour contracts for new employees

Oversee interns (if assigned) and the internship program

Pre-Screen applications for employment or internship

Implement program of incentives and disincentives

Maintain and modify the Company Handbook

Research and arrange appropriate educational trainings

4-BD and Marketing Assistance

· Communicate and liaison with Clients on behalf of the Directors and BD department

· Follow-up on invoices and payments with Clients

· Negotiate with external stakeholders

· Assist with additional BD and Marketing tasks such as exhibitions and (Social) media

Job Qualifications

EXPERIENCE

Educational: Business Administration, International Management, Finance, or Communications degrees preferred

Professional: Working experience in administrative, HR, finance and personal assistant roles at the executive level sought

Language: Fluency in written and spoken Mandarin and English

Software: Proficiency with MS Office Suite, especially Outlook, Word, Excel, and PowerPoint

SKILLS

· Ability to work under own initiative, reliable, follow-through and complete assignments

Ability to maintain calendars and schedule appointments

Ability to compose and edit written materials, and translate is a plus

Ability to work easily and effectively with a wide range of people

Ability to manage multiple projects and responsibilities at once; ability to meet deadlines

Ability to communicate easily and effectively

CHARACTERISTICS
