岗位职责 / Responsibilities
一、行政管理(80%)/ Administration (80%)
1. 办公用品及物料管理 / Office Supplies & Materials Management
- 负责办公用品、员工福利用品、耗材的采购、入库、领用登记及库存盘点
- 管理供应商名录,定期比价,维护优质供应链关系
Responsible for procurement, warehousing, issuance registration and inventory of office supplies, employee welfare goods, and consumables. Manage supplier directory, conduct regular price comparisons, and maintain quality supply chain relationships.
2. 采购与费用管理 / Procurement & Expense Management
- 承接各部门行政采购需求(办公设备、软件、礼品等),进行询价比价及订单跟进
- 负责采购合同、发票管理及费用报销流程,确保账实相符
- 协助管理行政预算,定期输出费用分析报告
Handle administrative procurement requests from all departments (office equipment, software, gifts, etc.), conduct price inquiries and order follow-up. Manage procurement contracts, invoice processing and expense reimbursement to ensure accuracy. Assist in administrative budget management and generate regular expense analysis reports.
3. 固定资产管理 / Fixed Asset Management
1. 负责公司固定资产(相机、电脑、服务器等)的全生命周期管理:登记、贴标、领用、调拨、维修、报废
2. 定期组织资产盘点(季度/年度),更新资产台账,确保账实一致
3. 跟进设备维修维保服务,优化IT资产使用效率
Manage full lifecycle of company fixed assets (cameras, computers, servers, etc.): registration, labeling, issuance, transfer, maintenance, and disposal. Organize regular asset audits (quarterly/annual), update asset registers to ensure consistency. Follow up on equipment maintenance services to optimize IT asset utilization.
4. 办公室运营支持 / Office Operations Support
- 维护办公室环境整洁有序,监督保洁、绿植、安保等第三方服务质量
- 负责办公空间管理,包括工位安排、钥匙管理、门禁权限设置
- 协助组织公司活动(年会、团建、下午茶等)及访客接待
Maintain clean and organized office environment, supervise third-party services (cleaning, plants, security). Manage office space including seating arrangements, key management, and access control. Assist in organizing company events (annual parties, team building, afternoon teas) and visitor reception.
二、人事支持(20%)/ HR Support (20%)
1. 招聘与入离职协助 / Recruitment & Onboarding / Offboarding Support
- 协助发布招聘信息、筛选简历、安排面试及跟进流程
- 支持新员工入职手续办理(合同准备、工位安排、物资发放)
- 协助办理离职交接及材料归档
Assist in posting job advertisements, screening resumes, scheduling interviews and follow-up. Support new employee onboarding (contract preparation, workstation setup, material distribution). Assist with offboarding handover and document filing.
2. 员工档案与考勤管理 / Employee Records & Attendance Management
- 维护员工信息花名册及电子档案,确保数据准确性和保密性
- 协助统计月度考勤数据,管理员工请休假记录
- 负责劳动合同的归档、借阅及到期提醒
Maintain employee roster and digital files with accuracy and confidentiality. Assist in monthly attendance statistics and manage employee leave records. Handle labor contract filing, borrowing, and expiration reminders.
任职要求 / Requirements
1. 学历 / Education: 全日制本科大四在读,行政管理、人力资源管理等相关专业优先
Full-time senior undergraduate student, major in Administration or Human Resource Management preferred
2. 语言 / Language: 英文读写流利,具备良好的书面表达能力
Fluent in English reading and writing with strong written communication skills
3. 技能 / Skills: 熟练使用Office办公软件(Excel数据透视表、Vlookup等函数)
Proficient in Microsoft Office (PivotTable, Vlookup, etc.)
4. 素质 / Competencies: 责任心强,细致耐心,具备优秀的沟通协调能力和多任务处理能力
Strong sense of responsibility, detail-oriented, with excellent communication and multitasking abilities
5. 出勤 / Availability: 保证每周实习4-5天,连续实习3个月以上者优先
Available for 4-5 days/week, with priority given to candidates who can commit for 3+ months
加分项 / Preferred Qualifications
1. 有行政或HR相关实习经验 / Prior internship experience in Admin or HR
2. 具备基础数据分析能力 / Basic data analysis skills
