Post Specification

Key Duties and Responsibilities:

1. Oversee the college’s general administration, supplies and asset management; handle procurement & requisition of office supplies and souvenirs, courier expense settlement, annual asset stocktaking, and standardized ledger management of petty cash.

2. Maintain various college IT systems including access control, facial recognition turnstiles, venue booking, campus entry approval and business travel platforms; liaise with the IT team for access configuration and routine maintenance.

3. Manage wardens and residential tutors throughout their employment cycle, covering holiday shift scheduling, policy revision, monthly report collection and regular team meetings.

4. Uphold the college’s whole-person education philosophy and oversee campus space management; administer student hostel operations via the student affairs system, process accommodation certificates and student vehicle permits, distribute dormitory electricity subsidies and attend to daily student accommodation matters.

5. Plan and deliver a full range of student activities, taking charge of activity application, promotion and on-site execution.

6. Man the college hotline and official mailbox as the first point of contact, triage all enquiries, follow up on progress and ensure full closure of all cases.

7. Organize team-building activities and staff training to foster a positive workplace culture; conduct filing and document drafting, and complete other ad-hoc tasks assigned by the College Manager.

Qualifications and Requirements:

1. Bachelor’s degree or above; candidates with Psychology or Social Work background are preferred.

2. Minimum 2 years of administrative experience in higher education; prior HR experience is an advantage.

3. Passionate about student services, aligned with the college’s educational mission, and dedicated to supporting students.

4. Proficient in written and spoken English and Chinese, with strong communication, coordination and event management capabilities.

5. Able to manage multiple tasks independently, strictly observe confidentiality protocols and properly handle sensitive student personal data.

6. Skilled in Microsoft Office Suite, with competence in operating multiple digital systems and basic IT maintenance.

7. Thrives in a fast-paced working environment, strong team player, and available for flexible overtime to handle student emergencies and event arrangements.

Salary and Benefits

Salary will be competitive, commensurate with qualifications and experience. Appointments will be made under the establishment of CUHK-SZ and statutory benefits will be provided according to the prevailing labor laws applicable in the PRC. The appointee will be based at the University campus in Shenzhen, PRC.

工作职责:

1. 统筹书院行政、物资及资产管理;负责办公物资、纪念品申领采购、快递结算,开展年度资产盘点,规范备用金台账管理。

2. 运维书院各类信息化系统,涵盖门禁、人脸闸机、场地预约、入校报备、商旅管理等,对接 IT 部门完成权限配置与日常维护。

3. 统筹舍监、住宿导师全周期管理,统筹人员节假日排班、制度修订、月度报告收集及工作例会组织。

4. 践行书院全人教育理念,统筹书院空间管理;依托学工系统,完成学生宿舍运维。办理住宿证明、学生车证,发放宿舍电费补贴等学生日常事务。

5. 统筹策划落地书院各类学生活动,全程负责活动申报、宣传推广及现场执行。

6. 值守书院热线与公邮,作为事务首接对接人,分流各类诉求并跟进处置,保障事项闭环处理。

7. 统筹部门团建及培训,营造良好办公氛围;完成档案整理、文书处理及书院经理安排的其他临时性工作。

岗位要求:

1. 本科及以上学历,有心理学、社会工作相关专业优先。

2. 2年及以上高校行政工作经验,有人力资源等相关从业经验者优先。

3. 热爱学生工作,认同书院育人理念,具备服务学生的责任心。

4. 中英文读写口语流利,沟通协调、活动统筹能力突出。

5. 可独立推进多项工作,严守保密规范,妥善处理学生隐私资料。

6. 熟练Office办公软件,具备多系统操作与基础信息化运维能力。

7. 适应快节奏工作,团队协作意识强,可弹性加班处理学生应急及活动事务。
